Without confirming domain records your letters never arrive. Large mail systems drop such messages into spam or reject them outright, and for months a company cannot work out why clients ignore its offers. This is set up once and closes the problem for good.

Questions and answers

Rental costs less to keep and needs no administrator. Your own server gives full control over correspondence and is called for where data retention rules are strict. Up to a hundred staff, rental is usually the sensible choice.

It is switched off and access passes to the manager together with the full history. When work runs on a corporate domain, correspondence stays with the company - unlike the case where a salesperson handled clients from a personal address.

Confirming domain records make it hard to forge your addresses from outside. Inside, marking external mail and a short briefing help: most successful deceptions start with a letter supposedly sent by the director.
