Office relocation

A relocation is usually thought of as a story about furniture and removal men, but what holds it up is connectivity: the provider takes three weeks to run the line and the new premises have not a single network socket. We run the technical side with time to spare so that on Monday people sit down and get to work.

What we take on

Six streams of work. Three of them happen in advance, and they decide whether the move is calm or not.

Discuss the timing

A survey of the premises

We look at what we will be working with: existing cable routes, sockets, a corner for the server room, which providers are already in the building.

Cabling

We design and install the cabling for the planned desk layout, with spare ports.

Connectivity and numbers

We file requests with providers in advance, add a backup link, port the numbers and configure the telephony.

Moving the servers

We take a backup before shutdown, transport it, rack it and bring it up in the agreed window, usually on Saturday.

Staff desks

We label as we dismantle, lay out to plan, connect and test every desk before the staff arrive.

Cameras and access

Cameras and access control at the new address are planned together with the network, not after the ceilings are closed.

The preparation calendar

We count backwards from moving day. People stumble on one thing more than any other: they file the request with the provider in the final week.

A month before the date

A survey of the premises, a desk layout plan, requests to providers, a list of materials and equipment.

Two weeks before the date

Running the network and power, fitting the cabinet, connecting and testing the links before the furniture arrives.

The move itself

Taking a backup, dismantling and transporting the servers, bringing them up at the new address, placing and connecting the computers.

The Monday after

An engineer sits in the office all day: small things like a printer that will not print or a missing shared folder are solved in minutes.

The main threat to the timeline is the telecoms provider. Getting a line into a business centre takes two to four weeks; in a standalone building it can take a month. That is why we file the request as soon as the lease is signed, before the fit-out even starts.

Questions and answers

Counted in working hours, not at all. The servers move at the weekend, the network at the new site is ready in advance, and the computers are connected on Saturday and Sunday. Real downtime only happens when you move mid-week with the premises unprepared.

Staff computers, certainly, provided you label everything as you dismantle. Servers and network gear are better left to engineers: they need to be removed properly, the wiring recorded and a backup taken before shutdown. Finding out on Monday morning that a disk did not survive the trip is expensive.

That happens all the time. We keep slack in the schedule and can split the work: we bring the finished part of the premises online first and move people in waves. It is only bad when you learn about the delay two days before the date.

A relocation is a good moment to revisit the decision. If the new address has no room for a server room, renting capacity works out cheaper than fitting the space with air conditioning and UPS units. We price both options during the survey.
