Area 20 · Hardware, software and training

Software

Licences are exactly where unnecessary spending goes unnoticed: subscriptions renew without a reminder and a fair share of paid seats has long sat unused. We put this in order and keep only what is needed, selecting local equivalents where required.

What the area consists of

Three categories of product that are asked for most often. Everything else is selected individually for the task at hand.

Where the money leaks

A subscription audit gives the fastest effect on the budget, and nothing in the technology has to be touched.

Someone has left

We write down the procedure for reclaiming a licence. You keep paying for a vacated seat for many months afterwards.

A higher edition was bought

We install the edition that matches the tasks. Money goes on features nobody ever touches.

The subscriptions are scattered

We build one single list. Nobody knows the total spend on software.

Renewal happens by itself

We keep a calendar of subscription expiries with alerts. Forgotten products charge money year after year.

Unlicensed software

We put the paperwork in order or find a replacement. Otherwise an inspection raises questions.

A subscription audit is a finance matter, not paperwork. In an organisation with fifty computers the very first audit finds a noticeable share of paid but unused seats. The review is done once, and the saving comes back every year.

Switching to a trusted platform

For public bodies this is a requirement; for private business it is insurance against a vendor leaving. It is better to move department by department rather than everyone at once.

01

A software inventory

We compile a list of the software in use with seat counts and expiry dates. Quite often such an inventory exists for the first time.

02

We look for a replacement

For every item we find a match in the register and say plainly which features you will lose and what people will have to get used to again.

03

We trial it in one department

We start with one department and listen to the real complaints. Finding an incompatibility with ten people costs less than finding it with the whole company.

04

We move everyone else

We roll it out to a calendar, with training and extra support in the early period when questions are at their peak.

Questions and answers

Volume discounts on partner terms, one contract and a single invoice instead of a dozen charges to different cards, and on top of that we keep the register and remind you about renewal dates. With two subscriptions the gain is invisible; with thirty seats it is already noticeable.

For public bodies and certain industries, yes, that is the requirement. Nobody forces private business, but the risk is real: a vendor can stop renewing. We recommend at least having a fallback for the key products.

Yes. We take an inventory, show the gap between what is installed on the machines and what has been paid for, and then offer routes: buy what is missing, drop to a lower edition or move to a free equivalent.

That is set by the vendor: some products are sold annually only, some allow monthly payment. In the quote we show both options with the twelve-month total, and monthly almost always works out dearer.
